SansWrite for CBH Providers Begins Nov 11th

Beginning in the fall of 2024, the OhioMHAS Office of Licensure and Certification is transitioning to an electronic web-based platform, SansWrite, to complete on-site surveys, issue findings to providers, and review plans of correction, replacing the current paper process. This change is part of OhioMHAS’ strategic plan to improve the coordination of department processes to promote efficiency and accountability.

The SansWrite platform utilizes a compliance monitoring model designed to assess regulatory compliance throughout an entire certifying or licensing period and provide a longitudinal view of compliance. The three-phased approach will include on-site surveys, submitting plans of correction, and creating touch points for prevention that include the opportunity for provider self-assessments to reinforce ongoing compliance and reduce repeat findings.

Beginning the week of Nov. 11, 2024, Community Behavioral Health Services (CBHS) providers will be the first provider group to transition to the SansWrite platform. Providers who have a scheduled on-site survey on or after Monday, Nov. 11, 2024, will receive the on-site survey findings through the SansWrite platform; and subsequently, the provider will submit the plan of correction for the on-site survey findings in the SansWrite platform.

For each certified CBHS provider, OhioMHAS has purchased one paid connection to SansWrite. This connection will be identified as the SansWrite Administrator. This connection will be assigned to the person identified in LACTS as the “Contact Person Information” in the LACTS Program Information page. If a provider wishes to change who is assigned as the SansWrite Administrator for the OhioMHAS paid connection, please send an email to [email protected] or call at 614.752.8880. A provider can purchase additional SansWrite connections for $29 per year per certificate or license. SansWrite is able to transfer the additional paid connections when there is a change in staff at no cost.

Other technical assistance resources available to providers include:

  • The CBHS training webinars will be recorded and available on the OhioMHAS Office of Licensure and Certification SansWrite webpage.
  • An online SansWrite User Guide which will be available in iPortal/LACTS.
  • The OhioMHAS Office of Licensure and Certification will host SansWrite Technical Assistance Office Hours on Tuesdays from 1:00-2:00 p.m. and Thursday mornings from 9:00-10:00 a.m. starting Tuesday, Nov. 12, 2024.
  • The SansWrite Helpdesk will be available by phone at 1-800-984-9346 (select option #2) or by emailing [email protected] between 9:00 a.m.-6:00 p.m., Monday through Friday.
  • The OhioMHAS SansWrite Frequently Asked Questions (FAQ) will be kept up-to-date with commonly asked questions and answers.

In early 2025, OhioMHAS will continue with the SansWrite implementation for other provider types. Prior to go-live dates, there will be additional provider type specific training opportunities to learn how to access and use the SansWrite platform. The projected timeframe by provider type is:

  • Opioid Treatment Program & Residential Class 1 providers: winter 2025
  • Private Psychiatric Hospitals: spring 2025
  • Residential Class 2 and 3 providers: summer 2025

At completion of the project, all certified and licensed providers will be transitioned to SansWrite. This includes community behavioral health services providers; opioid treatment programs; residential facility class 1, 2, and 3 providers; and private psychiatric hospitals.
